Description
We are seeking a highly organized and proactive ‘Executive Assistant & Programs/events Lead’ to support our Finance Leader in India and the broader Finance Hub. This role is the operational "engine" of the department, focusing on seamless day-to-day management, departmental logistics, and the execution of key finance-related events. The successful candidate will be the go-to person for keeping the India finance hub running smoothly, ensuring the leadership team is prepared, and fostering a well-organized environment for the entire team.
Responsibilities
EA responsibilities
Support the India Finance Leader (Senior Director) in day-to-day operations, including managing priorities, preparing meeting agendas, and facilitating key decisions.
Serve as a key liaison for the Leader with internal and external partners.
Help Prepare and finalize executive communications and reports for various audiences, including the leadership team and global stakeholders.
Manage team meetings, offsites, and key leadership visits while ensuring productive outcomes.
Event Management & Team Coordination
Finance Events: Lead the end-to-end logistics for all major quarterly finance events (e.g., townhalls, watch parties etc), including venue sourcing, catering, and tech setup.
Recurring Meetings: Manage the logistics for monthly finance meetings, ensuring agendas are distributed and action items are tracked.
Internal Networking: Organize smaller team-building activities and departmental workshops to keep the Finance Hub engaged and connected.
Finance Hub & Day-to-Day Operations
Operational Support: Manage the daily administrative needs of the Finance Hub, including office supplies, seating arrangements, and onboarding logistics for new finance hires.
Complex Scheduling: Coordinate high volumes of meetings across multiple time zones, focusing on recurring financial cycles (Monthly Close, Quarterly Reviews, and Audit windows).
Documentation & Reporting: Maintain the department’s digital filing systems (SharePoint/Drive), ensuring all operational SOPs and contact lists are up to date.
Handle comprehensive travel arrangements and manage expense reporting for the Finance Leader with strict adherence to company policy.Expense & Travel Management
Qualifications
Experience: 4+ years of administrative or executive assistant experience, ideally within a corporate or finance-heavy environment.
Technical Skills: Expert proficiency in using tools and technologies in the day to day work (like Tableau analytics, Google workspace, Zoom, Spreadsheets, calendar management etc)
Event Planning: Demonstrated experience in planning corporate events or large-scale meetings from conception to execution.
Communication: Strong verbal and written communication skills with a professional yet approachable demeanor.
