Overview of the Role

Salesforce is seeking an exceptional Executive Assistant to operate at the highest levels of executive support, acting as a trusted partner to senior leadership in Italy. This role goes beyond traditional administrative responsibilities: it sits at the intersection of executive operations, high-level stakeholder engagement, and strategic event orchestration.

The ideal candidate thrives under pressure, anticipates needs before they arise, and navigates complexity with composure and precision. You will be a key enabler of leadership effectiveness, managing urgency, orchestrating high-profile engagements, and representing the executive office with credibility and polish in both internal and external contexts.

This is a role for someone with strong executive presence, outstanding interpersonal instincts, and the ability to seamlessly manage critical situations, high-visibility events, and relationships with senior stakeholders across institutions, partners, and customers.

Key Responsibilities

Executive Partnership & Strategic Support

  • Act as a right hand to senior executives, ensuring alignment of priorities, proactive management of commitments, and optimisation of time and impact.

  • Anticipate needs, manage shifting priorities, and handle last-minute changes or crises with speed, sound judgment, and discretion.

  • Prepare executives for high-stakes meetings, including briefings, talking points, and stakeholder context.

Urgency & Complexity Management

  • Navigate fast-changing environments with the ability to manage multiple urgencies simultaneously while maintaining accuracy and composure.

  • Serve as a central coordination point during critical situations, ensuring rapid decision-making and flawless execution.

  • Demonstrate resilience and problem-solving skills when facing ambiguity or unexpected challenges.

Executive-Level Event Management

  • Lead the end-to-end organization of high-profile events, including executive roundtables, institutional meetings, customer engagements, and industry forums.

  • Manage all aspects of event delivery: concept, agenda, stakeholder coordination, logistics, and on-site execution with a strong attention to detail.

  • Ensure events reflect Salesforce’s brand, quality standards, and executive positioning.

High-Level Meetings & Representation

  • Coordinate and manage meetings involving C-level executives, public sector leaders, strategic partners, and key customers.

  • Act as an ambassador of the executive office, demonstrating professionalism, discretion, and strong executive presence in all interactions.

  • Support preparation and follow-up of high-representation meetings, ensuring continuity and impact.

Public Relations & Stakeholder Engagement

  • Support executives in managing relationships with external stakeholders, including institutions, partners, and senior clients.

  • Facilitate communications and interactions that require diplomacy, confidentiality, and strong interpersonal awareness.

  • Contribute to the planning and execution of public-facing engagements and initiatives.

Operational Excellence

  • Manage complex calendars across multiple time zones, ensuring prioritisation aligns with strategic objectives.

  • Coordinate detailed domestic and international travel, often under tight timelines and changing conditions.

  • Track key deliverables, manage expenses, and support procurement processes with accuracy and timeliness.

Required Qualifications

  • 5+ years of experience supporting C-level or senior executives, ideally within a fast-paced technology, SaaS, or multinational environment.

  • Proven ability to manage high-pressure situations, urgent requests, and rapidly changing priorities with professionalism and efficiency.

  • Strong experience in organizing executive-level events and managing high-visibility engagements.

  • Demonstrated capability in interacting with senior stakeholders, including external and institutional counterparts.

  • Exceptional organizational skills with a high level of attention to detail and discretion.

  • Business fluency in Italian and English.

  • Strong executive presence and confidence in high-level professional environments.

  • Excellent interpersonal and communication skills, with the ability to build trust quickly across diverse stakeholders.

  • Experience in public relations, institutional engagement, or supporting executive communications.

  • Advanced proficiency with Google Workspace or Microsoft Office tools, and ability to quickly adapt to new systems.

  • Proactive mindset, with the ability to anticipate needs and operate independently in complex scenarios.

  • Bachelor’s degree or equivalent professional experience.
