The Opportunity:

Isaac Health is seeking a highly organized, proactive, and technically proficient individual to join our growing team as a combination Executive Assistant and IT Support Specialist. This unique hybrid role is perfect for someone who thrives in a fast-paced environment, possesses exceptional administrative skills, and has a strong aptitude for technology. As our first line of IT support, you will play a crucial role in ensuring the smooth operation of our technology infrastructure while also providing invaluable administrative assistance to our executive team. This is primarily an in-office position located in the Financial District, with reasonable exceptions allowable for remote work.

Key Responsibilities:

Executive Assistant (50%):

  • Calendar Management: Proactively manage complex calendars for multiple executives, including scheduling meetings, appointments, and accounting for travel.
  • Communication Hub: Act as a primary point of contact for internal and external communications, drafting professional correspondence, and managing emails.
  • Meeting Support: As needed, prepare meeting agendas, take detailed minutes, and ensure timely follow-up on action items.
  • Travel Coordination: Arrange travel, including flights, accommodations, and ground transportation.
  • General Administrative Support: Provide comprehensive administrative support, including filing, organizing documents, managing supplies, and assisting with special projects as needed.
  • Mail and medical record management: Manage mail, route to the appropriate people within the company, and upload imaging and medical records
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.

IT Support Specialist (50%):

  • First-Line IT Support: Serve as the primary point of contact for all internal IT inquiries and issues, providing timely and effective troubleshooting and resolution.
  • Hardware Management: Manage the lifecycle of company hardware, including the procurement, setup, deployment, and retrieval of laptops, monitors, and peripherals for new hires and departing employees.
  • Software Support: Assist users with common software issues related to productivity suites (Google Workspace), video conferencing platforms, and other essential applications.
  • Account Management: Assist with user account creation, modification, and termination across various systems.
  • Basic Network Troubleshooting: Assist with basic network connectivity issues (e.g., Wi-Fi, VPN).
  • Inventory Management: Maintain an accurate inventory of IT assets.
  • Documentation: Create and update IT documentation, including user guides and troubleshooting steps.
  • Vendor Coordination: Liaise with external IT vendors for escalated issues or specialized support.
  • Proactive Maintenance: Identify and suggest improvements to IT processes and systems to enhance efficiency and user experience.

Qualifications:

  • Proven experience (2+ years) in a similar hybrid role or a combination of executive assistant and IT support roles.
  • Demonstrated proficiency in managing executive calendars and providing comprehensive administrative support.
  • Strong technical aptitude with a solid understanding of common operating systems (Windows, macOS, linux), productivity software (Google Workspace), communication software (Slack), and remote desktop/VDI configurations
  • Experience with basic hardware setup and troubleshooting (laptops, monitors, cameras, audio devices, printers).
  • Familiarity with video conferencing platforms (e.g., Zoom, Google Meet, Teams).
  • Excellent problem-solving skills and the ability to diagnose and resolve technical issues independently.
  • Exceptional organizational and prioritization skills, as well as meticulous attention to detail.
  • Strong written and verbal communication skills, with the ability to explain technical concepts clearly to non-technical users.
  • Ability to prioritize tasks effectively, manage multiple deadlines, and adapt to changing priorities.
  • Proactive, resourceful, and a strong sense of ownership.
  • Ability to maintain confidentiality and exercise discretion.
