About the Role
As a Specialist – Admin (Soft Services, Events & Food and Beverages), you will play a key hands-on role in delivering a high-quality workplace and engagement experience for Innovaccer’s Go-to-Market (Sales/Marketing/Customer Success/Partnerships) teams.
This role is execution-focused and stakeholder-heavy—you’ll coordinate day-to-day soft services (housekeeping, front desk, security coordination, cleanliness, hygiene, supplies), manage pantry/F&B operations, and support events and team engagements ranging from internal GTM meetups to leadership visits and customer-facing meetings hosted at Innovaccer offices.
You’ll be successful if you’re proactive, detail-oriented, calm under pressure, and enjoy running operations that are visible through outcomes (not noise). You’ll also be trusted with sensitive information at times (vendor commercials, leadership visits, internal schedules), so discretion and professionalism are important.
Responsibilities
1. Soft Services Operations (Day-to-Day Workplace Experience)
- Ensure smooth daily delivery of soft services including housekeeping, hygiene upkeep, reception/front-desk coordination, visitor handling support, and general workplace readiness.
- Conduct daily/weekly workplace checks (cleanliness, washrooms, common areas, meeting rooms, signage, consumables) and close gaps through vendors.
- Coordinate with facilities/maintenance teams for quick issue resolution (basic repairs, AMC follow-ups, pest control, deep cleaning schedules, etc.).
- Own admin helpdesk/ticket closure for soft-services-related requests, ensuring timely updates and resolution.
2. Pantry, Food & Beverages (F&B) Management
- Manage pantry operations end-to-end: replenishment, hygiene, inventory, vendor coordination, and service quality.
- Coordinate daily F&B requirements for office teams and planned meetings (snacks, beverages, working lunches, leadership meetings, trainings).
- Ensure pantry and food handling processes follow hygiene, safety, and compliance standards (as applicable to the site/vendor setup).
- Track consumption patterns and optimize ordering to reduce wastage while maintaining employee experience.
- Maintain feedback loops with employees and improve menu/service quality based on insights..
3. Events, Engagements (“Ents”) & On-Ground GTM Support
- Plan and execute admin/logistics support for GTM events such as townhalls, offsites, sales trainings, leadership visits, workshops, and celebrations.
- Coordinate event logistics: venue readiness, seating, A/V requirements with IT/AV teams, branding coordination, vendor onboarding, and catering.
- Support customer/partner visits hosted at Innovaccer locations: visitor coordination, meeting room setup, refreshments, and hospitality standards.
- Maintain event checklists, run-of-show support (as needed), and post-event closure (vendor bills, feedback, learnings).
4. Vendor Coordination & Service Quality
- Coordinate with vendors for soft services, pantry/F&B, housekeeping, and event partners to ensure consistent quality and responsiveness.
- Monitor vendor performance through regular reviews and on-ground checks; escalate recurring issues with data and recommendations.
- Maintain vendor documents (service schedules, contact matrix, basic compliance documents as required) and ensure smooth renewals/continuity.
5. Budget Tracking, Bills & Documentation
- Support admin budget tracking for soft services, pantry/F&B, and events (as per allocated scope).
- Validate invoices against services delivered; ensure accurate documentation for timely processing with Finance/Procurement.
- Track monthly spends, highlight variances, and share periodic MIS updates (consumption trends, event spend, pantry/utilities where relevant).
6. Stakeholder Management & Communication
- Act as a dependable point of contact for GTM stakeholders for office experience needs—respond with ownership and clarity.
- Coordinate with cross-functional teams (HR, IT, Facilities, Finance, Procurement, Security) for smooth execution of requests and events.
- Communicate timelines, constraints, and alternatives proactively—especially during high-footfall days, large meetings, or office events
7. Process Discipline & Continuous Improvement
- Maintain SOPs/checklists for pantry, meeting room readiness, visitor hospitality, and event execution.
- Identify recurring issues and propose improvements (vendor process changes, better inventory practices, standard event kits, ticketing improvements).
- Use tools (ticketing systems/sheets, trackers) to improve visibility, turnaround times, and stakeholder satisfaction.
Desired Candidate Profile
Education
- Bachelor’s degree in Hotel Management, Operations, or related field is required.
Experience
- 7-12 years of experience in administration, workplace operations, hospitality, pantry/F&B operations, or event coordination (corporate setup preferred).
- Strong operational execution skills with attention to detail and comfort working with multiple vendors and internal stakeholders.
- Hands-on experience managing pantry/catering coordination and/or office events is a strong plus.
- Basic understanding of invoice processing, budget tracking, and vendor coordination workflows.
- Working knowledge of MS Excel/Google Sheets for trackers, MIS, and reporting.
