Position: Administrative Specialist (Cross-Regional)

Job Summary:

Based in the Singapore office, this role is responsible for the full spectrum of daily administrative operations. The position serves as the central point for ensuring smooth office functionality in Singapore while providing essential remote administrative, logistical, and compliance support for teams in the United Arab Emirates (UAE) and Hong Kong, China. The specialist will manage vendor relations, budgets, travel, and multi-location compliance to drive operational efficiency and risk reduction.

Key Responsibilities:

1. Office Administration & Operations

  • Oversee the day-to-day administrative functions of the Singapore office, including facility maintenance, vendor management (cleaning, security, IT support), and procurement of office supplies.
  • Implement hands-on cost-control measures for office-related expenditures.

2. Cross-Regional Administrative Support

  • Provide comprehensive administrative support to UAE and Hong Kong teams by coordinating local suppliers, handling logistics, archiving documents, and contributing to process standardization.

3. Travel & Logistics Coordination

  • Coordinate end-to-end cross-regional travel and accommodation arrangements.
  • Ensure strict adherence to the corporate travel policy to guarantee smooth and compliant employee itineraries.

4. Compliance & Operational Coordination

  • Execute administrative compliance tasks across multiple jurisdictions (Singapore, UAE, Hong Kong), including work visa processing, office registrations/formalties, and health & safety protocol implementation.
  • Monitor labor and administrative regulatory requirements to ensure all workflows are compliant, thereby mitigating operational risks.
  • Serve as the primary liaison with external partners (e.g., government agencies, legal/visa consultants) to manage practical compliance matters and ensure seamless operations.

5. Budget & Cost Management

  • Track cross-regional administrative budgets, monitor and analyze expenditures.
  • Implement identified cost-optimization initiatives and measures.

6. Reporting

  • Prepare and submit consolidated cross-regional Human Resources & Administrative reports.
  • Collect and analyze data, track progress, and ensure all reporting is completed accurately and in a timely manner.
