Position Overview
We are seeking a highly experienced Executive Assistant, Legal to support our Chief Legal Officer (CLO). This role is ideal for a professional with deep experience supporting senior legal executives (GC/CLO) in an in-house environment who brings strong organizational, operational, and contract management capabilities. This individual will operate comfortably within the legal function—managing legal workflows, supporting contract processes, and interfacing with internal and external stakeholders on legal matters. The ideal candidate is proactive, highly detail-oriented, and thrives in a fast-paced, highly regulated environment.
Key Responsibilities
Executive & Legal Support
- Provide high-level administrative support to the CLO, including calendar management, prioritization, and coordination of internal and external meetings
- Prepare materials, agendas, and follow-ups for leadership, board, and committee meetings
- Act as a liaison between the CLO, executive team, and cross-functional partners
Contract Management & Legal Operations
- Own and manage the Company’s contract lifecycle management (CLM) processes
- Administer contract workflows, including intake, tracking, approvals, and execution (e.g., DocuSign)
- Maintain contract repository and generate reporting on contract status, obligations, and key terms
- Partner with legal and business teams to ensure timely processing of agreements (NDAs, MSAs, vendor agreements, etc.)
- Support the CLO in coordinating contract review and negotiation processes
Corporate Governance & Compliance Support
- Assist with board and committee meeting logistics, materials, and minutes
- Manage board portal and maintain corporate records
- Support compliance-related filings and documentation
- Assist with preparation of SEC filings, proxy statements, and annual stockholder meeting materials (as applicable)
Legal Operations & Process Management
- Maintain legal records, filings, and documentation with a high degree of accuracy and confidentiality
- Support legal projects, including compliance initiatives, audits, and internal process improvements
- Conduct basic legal research and gather information for the legal team
Skills & Competencies
- Exceptional organizational and project management skills
- Strong written and verbal communication skills
- Ability to handle highly confidential information with discretion
- High attention to detail and strong follow-through
- Comfortable operating in a fast-paced, evolving environment
- Proficiency with tools such as CLM systems, DocuSign, SharePoint, and Microsoft Office
Education
- Bachelor’s degree required.
- Minimum of 5+ years of experience as an executive assistant supporting senior legal executives or as a legal assistant/paralegal, with at least 3+ years in a public med tech, biotech, or life sciences environment.
- Substantial experience with contract management systems and board portals is a must. Experience with equity administration platforms is a plus.
- Understanding of FDA, HIPAA and other healthcare regulatory frameworks desirable but not required.

Compensation
We are pleased to provide a competitive salary and benefits. Our benefits reflect our investment in the overall health and well-being of our employees and their families. including paying 100% of monthly healthcare, dental & vision insurance premiums, a 401(k) plan with employer matching and unlimited PTO. The expected salary range is: $125,000 to $140,000 annually. Compensation may vary based on related skills, experience, and relevant key attribute.
