Position Description

As the Accounts Receivable Specialist, you will thrive in a dynamic environment, and take pride in creating high quality deliverables/results. This individual will be responsible for managing the end-to-end accounts receivable process, ensuring timely collections, accurate reconciliation, and compliance with Company policies and regulatory requirements. This role requires strong analytical skills, excellent communication abilities, and a deep understanding of A/R best practices within a medical device or healthcare environment.

Responsibilities

  • Generate and issue invoices to customers accurately and in a timely manner, ensuring adherence to contractual terms and conditions.

  • Validate billing information, including purchase orders, sales agreements, and pricing.

  • Proactively monitor and manage customer accounts to ensure timely payments and reduce delinquent accounts.

  • Contact customers regarding overdue invoices via phone, email, or mail, maintaining professionalism and persistence.

  • Negotiate payment plans and resolve disputes or discrepancies effectively.

  • Perform daily, weekly, and monthly reconciliation of AR ledger and bank deposits.

  • Investigate and resolve unapplied or misapplied payments in a timely manner.

  • Prepare AR aging reports and provide detailed analysis of outstanding receivables to management.

  • Assist in month-end and year-end closing activities related to AR.

  • Identify inefficiencies in AR processes and propose solutions to enhance accuracy and efficiency.

  • Work closely with the finance and sales teams to streamline the AR workflow.

  • Stay updated on industry trends and regulatory changes impacting accounts receivable.
  • Serve as the primary point of contact for customers regarding billing and payment inquiries.

  • Foster strong relationships with customers, addressing concerns promptly to maintain satisfaction and trust.

  • Collaborate with the sales team to resolve disputes and improve customer experiences.

  • Maintain accurate and organized records of all AR activities, including invoices, payments, and correspondence.

  • Ensure compliance with internal policies, SOX regulations, and industry standards.

  • Support audits by providing documentation and explanations related to AR transactions.

Qualifications

  • Bachelor’s degree preferred in accounting, finance, or related discipline
  • 3+ years relevant experience in accounts receivable or a similar role, preferably in the medical device or healthcare industry.
  • NetSuite experience preferred
  • Proficient in Excel (including pivot tables and VLOOKUP), Word, and Outlook

Compensation

We are pleased to provide a competitive salary and benefits. Our benefits reflect our investment in the overall health and well-being of our employees and their families. including paying 100% of monthly healthcare, dental & vision insurance premiums, a 401(k) plan with employer matching and unlimited PTO. The expected hourly rate of pay is between $25.00 and $32.00. Compensation may vary based on related skills, experience, and relevant key attributes.
