Position Description
As the Accounts Receivable Specialist, you will thrive in a dynamic environment, and take pride in creating high quality deliverables/results. This individual will be responsible for managing the end-to-end accounts receivable process, ensuring timely collections, accurate reconciliation, and compliance with Company policies and regulatory requirements. This role requires strong analytical skills, excellent communication abilities, and a deep understanding of A/R best practices within a medical device or healthcare environment.
Responsibilities
- Generate and issue invoices to customers accurately and in a timely manner, ensuring adherence to contractual terms and conditions.
- Validate billing information, including purchase orders, sales agreements, and pricing.
- Proactively monitor and manage customer accounts to ensure timely payments and reduce delinquent accounts.
- Contact customers regarding overdue invoices via phone, email, or mail, maintaining professionalism and persistence.
- Negotiate payment plans and resolve disputes or discrepancies effectively.
- Perform daily, weekly, and monthly reconciliation of AR ledger and bank deposits.
- Investigate and resolve unapplied or misapplied payments in a timely manner.
- Prepare AR aging reports and provide detailed analysis of outstanding receivables to management.
- Assist in month-end and year-end closing activities related to AR.
- Identify inefficiencies in AR processes and propose solutions to enhance accuracy and efficiency.
- Work closely with the finance and sales teams to streamline the AR workflow.
- Stay updated on industry trends and regulatory changes impacting accounts receivable.
- Serve as the primary point of contact for customers regarding billing and payment inquiries.
- Foster strong relationships with customers, addressing concerns promptly to maintain satisfaction and trust.
- Collaborate with the sales team to resolve disputes and improve customer experiences.
- Maintain accurate and organized records of all AR activities, including invoices, payments, and correspondence.
- Ensure compliance with internal policies, SOX regulations, and industry standards.
- Support audits by providing documentation and explanations related to AR transactions.
Qualifications
- Bachelor’s degree preferred in accounting, finance, or related discipline
- 3+ years relevant experience in accounts receivable or a similar role, preferably in the medical device or healthcare industry.
- NetSuite experience preferred
- Proficient in Excel (including pivot tables and VLOOKUP), Word, and Outlook

- Proven ability to handle multiple tasks with differing priorities simultaneously with a high degree of accuracy
- Ability to work independently and with a team in a collaborative manner

Compensation
We are pleased to provide a competitive salary and benefits. Our benefits reflect our investment in the overall health and well-being of our employees and their families. including paying 100% of monthly healthcare, dental & vision insurance premiums, a 401(k) plan with employer matching and unlimited PTO. The expected hourly rate of pay is between $25.00 and $32.00. Compensation may vary based on related skills, experience, and relevant key attributes.
