People Operations Manager

The People Team is looking to add an experienced People Operations Manager to its team. The role will be integral to the People Team in Europe, reporting locally in Spain to the HR Director and will have a strong matrix reporting line to the Sr Director, People Operations based in the USA. The role is hands-on and has responsibility for administering key aspects of the employment lifecycle covering areas such as payroll, benefits, & compliance for Spain, UK and Ireland.
HR Operations & Employment Compliance
Employee onboarding and offboarding
- Prepare Spanish employment documentation (employment contracts, separation agreements).
- Manage Benefits Administration (enrollment, dis-enrollment, timely settlement of invoices etc) with local benefits providers.
- Work with People Team Colleagues and Global People Operations to ensure proper update of HR Systems, based on employee lifecycle.
- Collaborates with Global Onboarding team regarding background check / right to work completion.
- Coordinate with selected external agencies and Datavant Mobility team to manage work-permit and relocation processes.
- Europe: works with People Team Colleagues and Global People Operations to ensure all terminations happen on time within HR Systems.
Compliance
- Europe: Manage Spain, Ireland, UK specific compliance documentation, SOPs, develop & maintain relationships with HR vendors.
- Europe: In partnership with Global Employment Legal, HR Compliance, ensure appropriate processes are in place for ensuring awareness of changes in local regulations.
- Spain: Research relevant local laws/regulations and develop best practices for onboarding, training, etc.
- Spain: Act as the point of contact with external labor, risk prevention services, and with the Private Insurance provider, to implement the required policies and activities.
Payroll
- Spain: Be directly accountable for Timeliness and Accuracy of pay and disbursements including tax filings.
- Work directly with an outsourced partner and own the day to day relationship for payroll with partnership and oversight from the Global Payroll Team.
- Spain: Responsible for adhering to current and emerging best practices in payroll.
- UK & Ireland: Collaborates with Global Payroll team and provides support for preparation of payroll files. May work directly with payroll partners on request.
- Be responsible for adhering to current and emerging best practices in payroll.
HR Operations
- Europe: Coordinate HR Systems management (Oracle HCM, Zoho Ticketing, Greenhouse) with US based teams.
- Europe: Support local requirements for Reporting.
- Spain: Lead operational integration of the Aetion Barcelona entity into Datavant processes (policies, payroll, benefits, HRIS, reporting).
- Spain: Lead operational integration of the Aetion Barcelona entity into Datavant processes (policies, payroll, benefits, HRIS, reporting).
Working Time Attendance (Spain)
- Manage the Time Attendance System and ensure compliant working time tracking for Spain-based employees.
- Be the point of contact for all employees' questions and ensure employees are properly trained.
Health & Safety Services (Spain)
- Manage Registration to the PRL services and to Occupational Health appointments for employees.
- Be the point of contact for Local Health & Safety regulations to implement the mandatory recurrent policies and activities (i.e. compliance reporting).
Change management & Global Coordination:
- Work with Global employment teams to ensure business readiness on changes in EMEA documentation and SOPs (i.e. Employee Handbook).
- Coordinate HR Systems management (Oracle HCM, Zoho Ticketing, Greenhouse) with US based teams.
- Create materials for specific local training on HR Systems and processes (slide decks, one pagers, trainings) as required.
- Support local requirements for Reporting.
- Participate in operational integration of the Aetion Barcelona entity into Datavant processes (policies, payroll, benefits, HRIS, reporting).
What you will bring to the table:
- Bachelor or Master’s degree in Administration, Labour Relations or Human Resources.
- 5+ years of HR Operations experience (including payroll management) in Spain.
- 5+ years of HR Operations experience for UK & Ireland.
- Native level Spanish.
- Proficient/Fluent in English (Oral and Written).
- Detail oriented.
- Analytical skills (e.g. great Excel skills).
- Problem solving skills.
- Excellent interpersonal skills and strong business orientation.
Bonus points if you have:
- Experience in Oracle HCM.
- Experience in Greenhouse ATS.
